The short version
We collect the least we can to run a mentorship program. We do not sell personal information, we do not share it for advertising, and there is no analytics, tracking, or advertising technology anywhere in this website.
Because our students are children, a parent is always the one who creates a student account and gives consent. You can ask us to delete your family's information at any time.
What we collect from parents
When you open an account we collect your name, email address, and — only if you choose to give it — a phone number. When you subscribe, Stripe collects and holds your payment details; we receive a customer reference, your plan, your billing status, and your renewal date, but never your card number.
What we collect about students
When you create your child's account you give us their first and last name, an email address for them to sign in with, their grade, and their school.
While your child is enrolled, their mentor writes and stores: the project title, a timeline of checkpoints with short notes, a to-do list, records of meetings that took place with the mentor's own notes about them, and links to shared documents the mentor created.
We do not collect a photograph. The circular initials shown in the app are drawn by the software from your child's initials.
Children under 13
Our students are in grades four through nine, so many of them are under 13 and protected by the US Children's Online Privacy Protection Act.
We do not allow a child to create their own account. A student account can only be created by a parent or guardian, from a paid parent account, after that parent has given explicit consent. That consent is recorded with a timestamp.
We collect from a child only what is needed to run the mentorship, listed in the section above. We never condition a child's participation on giving us more than that, and we do not enable a child to make personal information publicly available.
As a parent you may at any time review the information we hold about your child, ask us to correct it, refuse to allow us to collect any more of it, and require us to delete it. Write to hello@passionprojects.app and we will act within thirty days. If you require deletion, we will explain honestly which parts of the service can no longer be provided.
Why we hold it
To provide the mentorship you are paying for: matching a mentor, scheduling sessions, keeping the progress record, and sending the weekly update.
To take payment and meet our tax and accounting obligations.
To contact you about your subscription or your child's sessions. We do not send marketing email to students, ever.
Who else processes it
We use a small number of providers, each for one clear purpose. We do not sell information to any of them and they act on our instructions.
- Google Cloud and Firebase (United States) — hosting, sign-in, and the database where all of the above is stored.
- Stripe — payment processing, and the billing portal you use to manage your card and cancel. Stripe holds your card details under its own privacy policy; we never receive them.
- cal.com — session booking. The booking calendar in your dashboard is loaded from cal.com, which may set its own cookies when it appears.
- Zoom or Google Meet — the video link attached to a booking.
- Google Docs — mentors create shared project documents and paste the link into your child's timeline. We do not connect to your Google account and hold no access to your files.
What we deliberately do not do
There is no analytics, no advertising pixel, no session recording of your use of the site, and no third-party tracker anywhere in this product. Fonts are served from our own server rather than fetched from a font provider.
There is no artificial intelligence in this product. Nothing summarises your child, drafts their plan, or writes their feedback, and no personal information is sent to any AI service.
We do not sell personal information, and we do not share it for cross-context behavioural advertising.
Session recordings
Some sessions are recorded so the mentor can write accurate notes afterwards. We ask for permission at the start of every meeting we intend to record. If anyone says no, we do not record, and any recording already made is deleted.
Recordings are used only to write up the session and are deleted once that is done. You may ask us not to record any of your family's sessions at all, at any time, and we will note it on your file.
How long we keep it
We keep your family's information while you are enrolled and for twelve months afterwards, so a returning family does not start from nothing and so a mentor can answer a later question about the work.
After that we delete it, except records we must keep for tax and accounting, which we keep for as long as the law requires and use for nothing else.
You can ask for deletion sooner and we will act on it.
Your rights
You may ask us for a copy of the information we hold about your family, ask us to correct it, ask us to delete it, or object to how we use it. Write to hello@passionprojects.app.
Virginia residents have specific rights under the Virginia Consumer Data Protection Act. We honour those rights for every family regardless of where you live, rather than checking whether a threshold applies to us.
If we ever refuse a request we will tell you why, and you may appeal by replying to that refusal.
Security, and what we do if it fails
Access is restricted by role: a parent sees only their own family, a student only their own record, and a mentor only the students assigned to them. Those rules are enforced by the database itself, not only by the website.
No system is perfectly secure. If information about your family is exposed, we will tell you and the appropriate authorities promptly, describe what happened plainly, and say what we are doing about it.
Changes, and how to reach us
If we change this policy materially we will email you and record a new version here before it takes effect.
